Agency File Management – Process Flow Overview

Agency File Management – Process Flow Overview

Functional Pillars of AFM

The Agency File Management (AFM) system is structured around the seamless generation, scheduling, and customization of agency-specific deliverables such as pre-air, as-run, and postlog reports. The flow begins with Bridge and Revenue Management, directing into AFM where users are provided with three main functional pillars:

  • Create Rule – Enables CRUD (Create, Read, Update, Delete) functionality for defining logic around report generation.
  • Notifications – Allows setting up alerts tied to scheduling or processing events.
  • Admin Center – Acts as the operational hub for managing job schedules, file templates, and dropdown metadata used across the AFM experience.

Admin Center Configuration

Within the Admin Center, users can configure:

  • Job Schedule Templates
  • File Setup Templates
  • Dropdown Options for:
    • 3rd Party Resellers
    • File Types (for rule, schedule, or template creation)
    • Format Types

Conclusion

This modular design ensures easy extensibility and user empowerment without direct developer dependency, streamlining operations across multiple campaign deliverables.

Scheduling Logic Overview

This overview defines the logic of scheduling jobs in the Agency File Management (AFM) system based on different line types and advertiser categories:

  • Pricing Line Type is the top-level decision node.
  • Direct Response and General Ad Sales follow distinct workflow paths.
  • Job Submission Type (Manual, Automatic, Prepay/Non-Prepay) and Line Type (National or Local) further determine job scheduling logic.

Job Scheduling Categories

  • Current Week Not Included
  • Next Week Not Included
  • Next Week and Included

Conclusion

Each category dictates which days of the week jobs are scheduled to run (e.g., Monday, Monday–Wednesday, or Monday–Sunday), ensuring that business rules are met for each type of media line. This structure supports automation and consistency, while still allowing configuration flexibility across departments such as Planning, Traffic, and Sales Operations.
